A plain consent template for interview recordings

Copy the wording, fill in the placeholders, keep a record. It is written for interviews recorded under the EU/GDPR framework — and it is not legal advice.

A recording notice only works if it is clear, specific and documented. This template gives you a starting point you can adapt, instead of writing from a blank page.

It follows the EU/GDPR framing, because that is where information duties are most explicit. If you record under another regime, treat it as a structure rather than a finished document.

How to use it

  1. Replace everything in [square brackets] with your details.
  2. Send it before the interview and ask for a written reply, or read it on the record at the start.
  3. Keep the reply or the recording as evidence that consent was given.
  4. Offer a simple way to withdraw consent, and say what happens to the recording if someone does.

  • Whether consent is the right legal basis, or whether you need another one.
  • Which retention period is proportionate for your case.
  • Whether the interview involves special-category data (health, politics, and similar).
  • Whether you need a data processing agreement with a tool provider.
  • What your local law adds on top of the GDPR.
